How to Display Numeric Amounts as Words on NetSuite Invoices?
Learn how to configure NetSuite custom fields to convert invoice total amounts into a textual representation for enhanced readability.
Short answer
To display numeric amounts as words on NetSuite invoices, a custom transaction body field can be configured. While NetSuite now offers more direct functions like `format.spellOut` or the `{record.amountwords}` field for this purpose, a SQL-like formula can also be used to convert the invoice's total amount into a human-readable text format directly on the invoice.
Scenario
Organizations often require invoice totals to be displayed not only as numerical values but also as their word equivalents. This is particularly useful for clarity, legal compliance, or to match traditional document formats. The challenge involves configuring NetSuite to automatically convert the invoice's total amount into a text string that can be printed on the invoice.
Solution
NetSuite offers several methods to convert numeric values to words. While more direct functions like format.spellOut and the {record.amountwords} field are now preferred for this purpose in formula fields or templates, a custom transaction body field can also be configured using a SQL-like formula. This approach was previously utilized to achieve the desired text representation on invoices. To implement this, a custom transaction body field of type 'Free-Form Text' or 'Text Area' can be created with the following formula, which processes the invoice's {TOTAL} field to convert the whole number portion and any decimal cents into their word equivalents, resulting in a text amount displayed on the invoice:
INITCAP(TO_CHAR (TO_DATE (TRUNC ({TOTAL}), 'J'), 'JSP') || CASE WHEN(({TOTAL} - trunc({TOTAL}))*100 > 0) THEN (' AND ' || TO_CHAR(TO_DATE(({TOTAL} - trunc({TOTAL}))*100, 'J'), 'JSP') || ' CENTS') ELSE ' ONLY' END)Expert NetSuite Support
