How to Include Custom Fields in NetSuite Workflow-Triggered Emails
Learn the methods for dynamically populating email content with NetSuite record data using workflows.
Short answer
To add fields to emails sent via NetSuite workflows, use curly brackets {fieldId} for direct field references within the workflow's 'Send Email' action body. For advanced email templates, FreeMarker syntax ${fieldId} is the preferred and more powerful method, offering greater flexibility in dynamic content generation. CRMSDK tags are not supported for this purpose.
Scenario
Users often need to include specific data from a NetSuite record directly within the body of an email that is automatically sent by a workflow. The challenge is to correctly reference these fields so their values are dynamically populated in the outgoing email, rather than displaying the field ID itself.
Solution
When configuring a NetSuite workflow to send emails, there are primary methods for embedding record field values into the email body:
Direct Field Reference in Workflow 'Send Email' Action
For simple, direct inclusion of field values within the body of a 'Send Email' action configured directly in a workflow, surround the field ID with curly brackets. This method is effective for basic field population.
Custom Field: {custrecord_time}Advanced Email Templates with FreeMarker Syntax
For more complex email content, conditional logic, or when utilizing advanced HTML email templates, FreeMarker syntax is the recommended approach. FreeMarker allows for robust dynamic content generation and is widely used in NetSuite for advanced email templating, which can then be referenced by a workflow.
Custom Field: ${custrecord_time}It is important to note that CRMSDK tags are not supported for embedding fields into emails triggered by workflows. These tags are primarily designed for PDF and letter templates and have known limitations when used in workflow-triggered email contexts.
