How to Account for Customer Prepayments, Deposits, and Retainers in NetSuite

NetSuite's Customer Deposit feature effectively manages funds received from clients before services are rendered or goods are delivered, treating them as a liability until applied to an invoice.

Short answer

NetSuite utilizes the Customer Deposit feature to manage prepayments, deposits, and retainers. These funds are initially recorded as a liability and subsequently applied to customer invoices when services are provided or goods are shipped, ensuring accurate revenue recognition and financial tracking.

Scenario

Businesses often receive funds from customers as prepayments, deposits, or retainers before the actual sale or service delivery. Accurately accounting for these funds in NetSuite is crucial to ensure proper liability tracking, revenue recognition, and seamless application against future invoices.

Solution

NetSuite's core functionality for managing customer prepayments, deposits, and retainers is the Customer Deposit feature. This feature allows organizations to record funds received from customers as a liability until they are applied to a corresponding invoice. To effectively utilize Customer Deposits:

  1. Recording a Customer Deposit

    • Navigate to the Customer Deposit creation page, typically found under Customers > Accounts Receivable > Record Customer Deposits or Transactions > Customers > Record Customer Deposit, depending on your NetSuite version and configuration.
    • Select the relevant customer and enter the deposit amount, date, and any other required details.
    • Save the transaction. This records the deposit as a liability on your balance sheet.
  2. Applying a Customer Deposit to an Invoice

    • Once an invoice is generated for the customer, the recorded Customer Deposit can be applied.
    • Navigate to the invoice and select the "Apply" button, or go to Transactions > Customers > Accept Customer Payments and select the invoice to which the deposit should be applied.
    • On the payment application page, select the Customer Deposit(s) to apply against the invoice.
    • Confirm the application. This reduces the liability and applies the funds to the invoice, effectively settling it.While the Customer Deposit feature handles general prepayments and retainers, it is important to note that NetSuite's capabilities for managing retainers have evolved. For more specialized retainer management, particularly within project-based scenarios, SuiteProjects Pro offers dedicated functionality for 'Retainer Billings'. Additionally, newer features such as Required Deposit have been introduced to provide enhanced tracking capabilities for expected deposit amounts, offering more granular control over the deposit workflow.
