How to Resolve Discrepancies Between AP Aging and Balance Sheet Reports?

Users may encounter situations where the Accounts Payable (AP) Aging report does not reconcile with the corresponding AP balance on the Balance Sheet. This discrepancy typically arises when different date calculation methods are applied across these financial reports, leading to inconsistencies in period-end figures.
Solution
Discrepancies between the Accounts Payable (AP) Aging report and the Balance Sheet can be resolved by adjusting two key NetSuite preferences:
Adjusting Aging Report Date Usage:
- Navigate to
Setup > Accounting > Accounting Preferences. - Locate the 'Aging Reports Use' preference.
- This preference offers two choices:
Transaction DateorDue Date. - To align with typical financial reporting, ensure this preference is set to
Transaction Date. Financial reports, including the Balance Sheet, are typically run by fiscal periods by default, and aligning the aging report's date usage helps reconcile figures.
- Navigate to
Enabling Period-Based Reporting for Aging Reports:
- Navigate to
Home > Set Preferences. - Select the
Analyticssubtab. - Locate the 'Report by Period' preference.
- Aging reports often use footer filters based on an 'As Of' date. If users require filtering aging reports by period, similar to other financial reports, set this preference to
All Reports. This allows for easier matching, such as reconciling the Balance Sheet total for a given account against the AP Aging. - Note that this preference is user-specific; it must be modified individually for each user who requires this functionality.
